Free: suitable for a narrow proof of workflow

Free includes 100 tasks per month and two-step Zaps. That is enough to validate a small trigger-to-action workflow, such as copying a form submission to a spreadsheet or sending one notification.

It is not a realistic test of a production process that needs filters, several actions, premium apps, webhooks, or material volume. A successful two-step demo can still underestimate the paid plan and task allowance required.

Professional: the real operating baseline for multi-step automation

Professional adds multi-step Zaps, premium apps, webhooks, and faster automation. This is the relevant tier for most businesses that want Zapier to coordinate an actual process rather than a single handoff.

The key question is not whether Professional unlocks the feature. It is how many billable tasks the finished workflow creates. One trigger can lead to several actions, and repeated paths can multiply consumption.

Team and Enterprise: collaboration and governance purchases

Team supports shared work with up to 25 users and adds team-oriented administration. Enterprise is for stronger governance, security, and organization-level requirements. These tiers make sense when several people create or own automations and the organization needs control over access, assets, and change management.

Do not upgrade only because the company has many employees. Upgrade when the number of builders, administrators, workspaces, permissions, and governance requirements actually demands it.

The task calculation that prevents pricing surprises

Start with one real workflow and write every action that runs after the trigger. Then multiply by the expected monthly business events.

Example: 1,000 form submissions × 4 downstream actions = approximately 4,000 tasks before retries, paths, loops, or AI multipliers. The trigger itself may not be the billable unit that drives the total.

Model three scenarios:

  • Normal month: expected events and successful runs.
  • Peak month: launch, campaign, enrollment, or seasonal volume.
  • Failure month: retries, duplicate events, bad data, or reprocessing.

Zapier remains attractive when the value of speed and easier maintenance exceeds the modeled task cost in all three scenarios.

AI steps require a second cost model

Zapier changed AI-by-Zapier task usage on June 15, 2026. The current documentation groups models into Standard, Advanced, and Premium tiers that use 1×, 3×, and 5× tasks respectively; Advanced is the default. A single AI step can therefore consume more than one task, and the documented per-step limit is 75 tasks.

That does not make AI automation a poor choice. It means the model tier, run volume, output value, and fallback behavior belong in the purchase calculation. Use a lower-cost tier for classification or extraction when it meets the accuracy requirement, and reserve premium models for steps where the output difference matters.

Zapier versus Make and native integrations

A native integration is often best when it covers the entire required use case and is maintained by the two vendors. It reduces moving parts. Zapier earns its place when native integrations are missing, too narrow, or difficult to coordinate across several tools.

A safer pilot

  1. Choose one workflow tied to revenue, service, or a measurable time saving.
  2. Build the shortest complete version.
  3. Count actions and AI multipliers per event.
  4. Test duplicates, missing fields, rate limits, and failed steps.
  5. Confirm that another team member can diagnose and maintain it.
  6. Project normal, peak, and failure-month task usage before annual billing.

Map one complete Zap before comparing plans

Choose one revenue or customer-care workflow and write its trigger, required fields, actions, exclusions and source of truth. Test a missing value, duplicate record, early reply and changed destination field. Every mapping should be understandable without opening several applications to guess what happened.

Count the actions the same way the plan does. A multi-step workflow, loop, retry or added enrichment can change usage more than the number of Zaps suggests. The useful unit is a completed business promise, not an impressive automation count.

Protect reliability, permissions and customer trust

Give connections the least access practical and assign a business owner as well as a technical owner. Verify task history, alerts, replay behaviour and how expired credentials appear. A retry must not send the same customer message twice or create duplicate work.

Keep a manual fallback for the most important handoff. Document what a teammate should do when the trigger arrives but the final action does not. The customer should receive care even when the connector has a bad day.

Model the successful month, not the first test

Estimate normal volume, campaign peaks, multi-step actions, retries, premium applications, users and governance needs. Add the time required to inspect failures, update mappings and review permissions. Test the model again after one workflow becomes popular; success is often what exposes the wrong plan.

Compare this full cost with a native integration and with Make using the same workflow. A lower subscription is not cheaper if maintenance, recovery or task growth consumes the difference.
